Position duties include:
Responsible for the day to day operations of the office including team management, financial oversight, board governance, grant applications and reporting, community relations, and program coordination.

Position is for 28 hours a week, flexible based on experience and availability of successful candidate.  Office hours are 8:30 to 4:30 with an hour for lunch.  EDCLS closes for 2 weeks over Christmas and New Year and hours are reduced during July and August.

JOB DESCRIPTION  – Executive Director 

 

Reports to: EDCLS Board of Directors

 

PURPOSE:
The Executive Director holds a key leadership role in the organization.  Under the authority of the board, the Executive Director assumes complete responsibility for carrying out assigned policies and regulations.  The Executive Director has the authority to direct the implementation of the organization’s programs and services and is responsible for the management of all staff members and volunteers.
RESPONSIBILITIES – overview
  • Direct the day-to-day operations
  • Implement policy
  • Hire and release staff
  • Train, delegate, supervise and evaluate staff
  • Attend board meetings
  • Attend committee meetings as required
  • Act as a consultant to the board and its committees

 

 

KEY RESPONSIBILITIES AND ACTIVITIES:

Policy Management

Ø  Administer the day-to-day operations of the organization

Ø  Direct staff’s implementation of policy

Ø  Support board committees as needed

Ø  Keep up to date on board policies, bylaws and objectives

Ø  Keep up to date with provincial policies

 

Strategic Planning

Ø  Work with Board, staff and general members to develop an annual program plan

Ø  Conduct both an internal and external environment scan to identify emerging issues that affect the organization

Ø  Identify the required resources to achieve goals of the organization

Ø  Communicate with stakeholders to identify the changing needs and conditions of the community that is served by the organization

 

Leadership

Ø  Provide direction for staff to ensure objectives are met

Ø  Assign work and responsibilities

Ø  Ensure necessary resources are in place

Ø  Encourage team-building by facilitating open communication and positive working relationships with staff and volunteers

Ø  Hours of Work: Majority of hours will be worked in the office during open office hours

 

Program Management

Ø  Facilitate the research, planning, development, implementation and evaluation of programs and services

Ø  Make sure that programs and services meet the board’s policy guidelines and reflect the board’s priorities

Ø  Supervise the implementation of the organizations programs and services

Ø  Understand and comply with provincial policy

 

Personnel Management

Ø  Interpret board policy decisions to staff

Ø  Hire and release staff

Ø  Train, evaluate and motivate staff

Ø  Set clear, results-orientated goals for staff

Ø  Support goal achievement, coach and monitor performance

Ø  Support and encourage staff initiatives  and training opportunities when feasible

Ø  Ensure job descriptions are up to date and perform staff evaluations annually for current staff and quarterly for new staff for their first year

Ø  Assist personnel committee

Ø  Hold at least six staff meetings per year

 

Financial Management

Ø  Maintain sound bookkeeping procedures

Ø  Provide board with regular statements of revenue and expenditures

Ø  Administer funds of the organization according to the budget approved by the board

Ø  Advise financial committee

Ø  Review bookkeeper entries and ensure all are properly coded

Ø  Ensure bills are paid on time

Ø  Work with board’s budget committee to develop budget

Ø  Manage investments

Ø  Prepare for annual review and assist accountant during review

Ø  Ensure all required filing is complete – charitable return, bylaw regulations, annual return, financial review, T4’s, T4A’s and WCB

 

Risk Analysis

Ø  Make sure both the risks and opportunities have been identified and evaluated

Ø  Assess risk to the organization’s financial security and growth

Ø  Provide regular, reliable and comparable reports to the organization’s progress

 

Advocacy Management

Ø  Promote community awareness of the organization’s mission and goals.  i.e. attend community meetings, seek public speaking opportunities etc.

Ø  Participate in networking and community relations activities on behalf of the organization

Ø  Build strong working relationships with others, both inside and outside the organization and enlist their support for accomplishing tasks

Ø  Work with key external stakeholder groups

Ø  Identify and research funding opportunities

Ø  Facilitate a communication plan that informs the community of the activities and direction of the organization

 

Executive Director’s Performance Evaluation Process

Ø  Cooperate with and participate in the performance appraisal process

Ø  Assist in the assessment of outcomes

Ø  Recommend change when necessary

Ø  Inform the board about situations that affect the executive director’s ability to meet his/her goals

 

 

 

KNOWLEDGE, SKILLS & ABILITIES:

·       Keep up to date on board policy, bylaws and objectives

·       Keep up to date on provincial policies

·       Familiar with office computer programs and office equipment

·       Experience working for non-profit

·       Post-secondary education in a related field (preferable adult education) or equivalent years direct experience in the planning and delivery of various programs to adult learners

·       Excellent oral, written and financial management skills

·       Comfortable speaking in public
